PURPOSE

Primary responsibilities include daily management of in-house capture processes.

ROLE AND RESPONSIBILITIES

* Day-to-Day in-person management and supervision of personnel performing LEAN imaging and conversion tasks, which include document inventory, preparation, scanning, QA, data entry and verification, conversion to deliverable file format, document disposition and output delivery. Ensures all mail open, document prep, scanning, quality control processes are compliant with all security policies. Ensures that CAS meets all scheduled production deadlines.

* Coordinate the completion of multiple document imaging and remittance processing projects to include establishing and monitoring project quality standards, work scheduling and job cost tracking. Order production related office and consumable supplies within budgetary compliance

* Assist in preparation of cost estimates (production costs) to support new business development activities via use of historical production data or production testing metrics.

* Resolve and report any issues to the Director, CAS in an accurate and timely manner.

* Knowledge of all hardware and software required to fulfill responsibilities of the position. Preventative maintenance scheduling for production related equipment.

* Maintain the highest level of customer satisfaction at all times. Participate in client meetings on and offsite as required. Participate in facility tours and demonstrations as needed.

* Assists in the development and maintenance of accurate production documentation

* Perform and participate in capture solution implementation and technical changes

* Provides progress reports of all in-house CAS production work

* Coordinating with internal accounting dept for billing and reporting functions

* Assists with testing and implementation of new technologies

* Assists with further development of disaster recovery planning for production.

* Participates in weekly production update meetings

* Chairs one or more meetings per week with production staff

* Daily use of Cloud Based Solutions as required by management

* Develops, maintains and electronically posts all production procedures and documentation. Manage security of all production personnel personal items, including personal media devices.

* Customer service support liaison for hardware or software related issues

* Maintain and update employee job descriptions as requested. Manages requests and denials of employee access (i.e. - access cards) to production area and computers (i.e. - Windows login).

* Manages and schedules document pickup and deliveries

* Manages in house box and document storage, as well as electronic inventories. Manages digital and document purging/destruction

PREFERRED SKILLS, QUALIFICATIONS AND EDUCATION REQUIREMENTS

  • Minimum of Associates Degree or equivalent work experience
  • 4 years production management of simultaneous projects and 2 years of experience with document imaging hardware and software products preferred.
  • Strong problem-solving skills.
  • Proficient user of Windows operating systems and MS Office Applications and use of other standard office equipment
  • Knowledge of imaging technology and capture solution requirements.
  • Capable of training all levels of personnel on ibml document conversion solutions and remittance processes.
  • Experience with lean production processes is a plus.
