What You'll Do:
We are seeking a diligent and detail-oriented Administrative Assistant for our Transportation Compliance and Fleet Management team! The Administrative Assistant for Transportation and Fleet will provide administrative support to the Transportation Compliance and Fleet Management Department, ensuring smooth operations and efficient coordination of tasks. Day-to-day responsibilities include organizing and tracking records for Fleet Inventory, processing invoices and purchase orders to ensure timely payment, and providing attention to detail and tactical support for Transportation Compliance and Fleet Management Departments. The ideal candidate will possess strong organizational skills, excellent communication abilities, and proven experience handling multiple tasks simultaneously. This role is located at our corporate office in Birmingham, AL.

Responsibilities Include (but are not limited to):

  • Assist in maintaining accurate records of fleet inventory, including vehicles, equipment, and parts.
  • Assist in the reconciliation of fuel usage for fleet vehicles.
  • Process invoices and purchase orders related to transportation and fleet compliance and initiatives, ensuring accuracy and timely payment.
  • Maintain electronic and physical filing systems for transportation and fleet-related documents.
  • Respond to inquiries from internal staff regarding transportation and fleet-related matters, providing information and assistance as needed.
  • Assist in analyzing transportation and fleet data and generating reports on key performance indicators.
  • Support transportation and fleet management initiatives to improve efficiency and ensure compliance with company policies.
  • Perform general administrative tasks, such as answering phones, scheduling appointments, and ordering office supplies.

Qualifications

Skills You'll Need:

  • High school diploma or equivalent; additional education or training in administrative or related fields preferred.
  • Must have previous experience in an administrative position; 3+ years' experience in an administrative position for fleet management, transportation, or similar industry preferred.
  • Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, and Outlook) required; familiarity with fleet management software and/or Tableau software preferred.
  • Excellent organizational and time management skills required, must have the ability to prioritize tasks effectively.
  • Strong attention to detail and accuracy in record-keeping and data entry.
  • Excellent communication skills, both verbal and written, with the ability to interact professionally with internal and external stakeholders.
    Ability to work independently with minimal supervision and as part of a team.
  • Knowledge of basic automotive maintenance and terminology is a plus.
  • Ability to adapt to changing priorities and work in a fast-paced environment.
